WHISTLEBLOWER POLICY
The Renewal Center is committed to maintaining an environment where individuals feel safe reporting unethical or illegal behavior. Employees, volunteers, and board members are encouraged to report suspected misconduct, including financial mismanagement, discrimination, or harassment. Reports can be made confidentially to the Board Chair or Executive Director and will be investigated promptly. Retaliation against individuals who report misconduct in good faith is strictly prohibited. Reports and investigations will remain confidential, with disclosure limited to a need-to-know basis.
CONFLICT OF INTEREST POLICY
The Renewal Center ensures that decisions are made impartially and not influenced by personal interests. Board members, officers, and employees must disclose any financial, personal, or other conflicts of interest. Conflicts must be reported to the Board Chair, and individuals with conflicts may not participate in related discussions or votes. Disclosure forms and related meeting minutes will be retained for a minimum of five years.
DOCUMENTING BOARD MEETING MINUTES POLICY
Minutes will be recorded for all board meetings to ensure transparency and accountability. Meeting minutes will include the date, attendees, decisions made, and votes taken. Draft minutes will be prepared within ten days of the meeting, reviewed by the board, and approved at the subsequent meeting. Final minutes will be stored in physical and digital formats and retained permanently.
RECORDS RETENTION AND DESTRUCTION POLICY
The Renewal Center retains records in compliance with legal and operational requirements. Financial records will be kept for seven years, board meeting minutes permanently, employee records for five years after termination, and donor records for seven years. Physical records will be shredded, and electronic records permanently deleted after the retention period.
